Lesson 3: More Basic Features
The features in Word 2016 can make your work easier, make your documents more attractive, and/or enable you to work more efficiently. This Microsoft Word lesson teaches you how to open a file, cut, copy, paste, use AutoText, use spell check, use Find and Replace, and change fonts. All of these features either make your work easier or make your document more attractive.
Microsoft Word 2007 – Opening, Moving, Copying, and Formatting Text
Open a File
After saving a file, you can open it later to revise or finish your work.
EXERCISE 1: Open a File
Windows Vista
- Open Word 2007
- Click the Microsoft Office Button → Open
- Locate the folder where you saved the file (

Lesson Two.docxand click Open
Windows XP
- Open Word 2007
- Click the Microsoft Office Button → Open
- Use Look In to navigate to the folder where
Lesson Two.docxis saved - Select
Lesson Two.docxand click Open
Using Keyboard Shortcut
- Press Ctrl + O
- Locate and select
Lesson Two.docx - Click Open

Cut and Paste
- Cut removes selected text from a document and stores it in the Clipboard
- Paste inserts the text from the Clipboard to another location
EXERCISE 2: Cut and Paste
Cut with Ribbon
- Type:
I want to move. I am content where I am.
- Select
"I want to move." - Click Home → Cut
- Your text should read:
I am content where I am.
Paste with Ribbon
- Place the cursor after the period
- Press Space
- Click Home → Paste
- Text now reads:
I am content where I am. I want to move.

- Cut: Ctrl + X
- Paste: Ctrl + V

Copy and Paste
- Copy allows you to duplicate text without removing it
- Copied text is stored on the Clipboard

Copy with Ribbon
- Type:
You will want to copy me. One of me is all you need.
- Select
"You will want to copy me." - Click Home → Copy
- Place the cursor after
"One of me is all you need." - Press Space and click Home → Paste
- Text now reads:
You will want to copy me. One of me is all you need. You will want to copy me.

- Copy: Ctrl + C

Use the Clipboard
- Stores up to 24 items
- Each new cut/copy moves to the top of the hierarchy
- Access Clipboard via Home → Clipboard Dialog Box Launcher
- Click an item to paste it into your document

AutoText
- Stores frequently used text permanently for reuse
EXERCISE 5: Create AutoText
- Type:
AutoText information is stored permanently.
- Select the text
- Click Insert → Quick Parts → Save Selection to Quick Part Gallery
- In dialog box, type AT as name → Click OK
- To reuse: type
AT→ press F3

Spell Check
- Spelling errors: red wavy line
- Grammar errors: green wavy line
- Review → Spelling & Grammar or F7
EXERCISE 6: Use Spell Check
- Type:
Open thr door for Mayrala. She is a teacher from the town of Ridgemont.

Select text → Review → Spelling & Grammar

Correct errors using suggestions:
- "thr" → "the"
- Ignore proper names like "Mayrala"

Click No when done

Find and Replace
- Find: Locate words or phrases
- Replace: Swap with new text
EXERCISE 7: Find and Replace
- Type:
Monica is from Easton. She lives on the east side of town. Her daughter attends Eastern High School.
- Select text → Home → Find → Find
- Search for
"east"→ click Find Next repeatedly - Replace
"east"with"west"using Home → Replace - Result:
Monica is from Weston. She lives on the west side of town. Her daughter attends Eastern High School.

Change Font Size
- Use Font Size dropdown, Grow Font, or Shrink Font
EXERCISE 8: Change Font Size
- Type:
I can be any size you want me to be.
- Select text → Home → Font Size dropdown → select

Change Font
- Change the typeface for selected text
EXERCISE 9: Change Font
- Type:

- Select text → Home → Font dropdown → select desired font
- Alternate: Right-click → Mini Toolbar → select font
